Frequently Asked Questions on Quickbooks
» Can I create "Invoices &
Statements" in Quickbooks?
Yes you can - and you can customize them to include your logos and
other corporate information. You can email invoices/statements as a PDF
directly to your customer.
» Does Quickbooks handle
"Purchases Invoices/ Supplier Bills" ?
Yes it does. You can even memorise transactions for re-use. So if you have
bills that come in each month you can automate their entry to save time (and
have more consistent entry of purchases invoices). You
can also generate very useful aged receivable reports.
» Does Quickbooks handle "Job
Costing" ?
Quickbooks allows you to track costs by customer and if you wish by each
customer's job. When entering a supplier bill you can choose which customer/job
you want to assign/allocate a cost to. You can generate a handy P&L by job
report.
» Does Quickbooks handle "Bank
Reconciliations"
Yes it does. It's reasonably good.
» Does Quickbooks generate
"Payment Advices"?
Yes it does.
» Does Quickbooks handle "Multiple
Stock Locations"?
No it doesnt currently.
» Does Quickbooks handle "Assembly
Builds"?
Quickbooks handles light assembly
builds. (Take multiple sub items to create a new product). The Premier edition
handles units of measure.
» Does Quickbooks do "Purchase
Orders"?
Quickbooks Pro & Premier allows
you create POs. When you receive a supplier invoice/bill you get prompted for
open POs to choose from. This then fills in the invoice details (which you
then modify for the actual invoice received).
» Does Quickbooks do "Sales
Orders" & "Estimates"?
Quickbooks Premier allows you to
create estimates and sales orders. You can take and estimate and use it to
create a Sales Order. The sales order can then be used to create multiple PO's
and/or invoices. Sales Orders are really useful if you have a complex customer
order that need to be fulfilled from multiple suppliers.
» Is there a "Charge per Company
" (like Sage)?
No there isn't an additional
charge/fee for each company you set up. It's just a matter of stepping through
the Wizard to create each company data file.
» Is Quickbooks "Easy to
use"?
That's a matter of personal
opinion. We believe that it's easiest accounting product to use. But it
depends on whether you're familiar with accounting concepts and you level of
computer proficency. You can check out the Quickbooks interface
here.
» How "Scalable" is
Quickbooks?
In v2008 Intuit moved over to a new
Sybase back end database. The product is now a very scalable product.
» What "Month End"
procedures do I need to run on Quickbooks?
Quickbooks is an open system - so you
dont need to run any funky routines to get a P&L report from your trial
balance. In Quickbooks it's a matter of choosing your (say P&L)
report and specifing the start and end dates. The reports are automatically
generated by the system and can be exported to Excel in a snap.
If say you've finished doing a month end you can lock down by date and a
password so someone cannot enter transactions in a previous period. An
administrator can override this by removing the lock.
» Is "Quickbooks
Enterprise" edition available in Europe?
Nope. The USA editions are customised
for USA state law. However we understand that the underlying architecture is
the same as the enterprise edition.
» Is Quickbooks "Widely used"?
Quickbooks is the is the most widely used accounting software in the World.
There are several thousand users and Ireland and many more in the UK. At
this stage if your accountant hasnt heard of it you need to question their
expertise.
» Is Quickbooks
"Multi-Currency" Enabled?
v2006 handles multi-currency. v2008 is not multi-currency
enabled. We're quite confident that multi-currency accounting will be
available in the next edition. Intuit took the painful decision to shift on to
a new database platform to sort out the scalability issue (of 2006,2005, 2003
and previosu versions). They could not release a multi-currency v2008 in time.
Note that the latest USA edition does have multi-currency again.
» Does Quickbooks handle VAT?
Quickbooks offers VAT accounting. In
v2008 Intuit modified their VAT accounting to offer additional VAT reporting
to Ireland as well as they UK. It is more complex - but they are regularly
updating the process. Migrating from previous versions is not seemless - and
requires planning and testing. e.g they've split out the VAT agency for HMS
Cutoms and Revenue Commissioners. It isn't perfect but most cutomers seem
satisified.
» Can I import my accounting data
from my old accounts package into Quickbooks?
It's never a good idea to try to
bring in transactional data from one accounting system to another. Why? Their
underlying data structure are usually quite different. So whether you
coming/going to/from SAP, Sage, Tas, Quickbooks or MYOB you're heading for
trouble.
» What can I import into
Quickbooks?
You can import customer, suppliers, stock/inventory items - with a
reasonable level of expertise. On more complex jobs Axonware offer a
consulting service.
» Do many Accounting Firms use
Quickbooks?
Some very reputable firms have
their entire teams running Quickbooks. Many like it because it's quite
flexible, have good reports and can get the data out easily.
» Why is Quickbooks priced so
cheaply?
Intuit are looking to gain market
share in Europe. They are going after the customer base of Sage, Exchequer and
others. Also the current edition is not multi-currency enabled and they
product is over 12 months old.
» When is Quickooks 2010/2011 being
released?
We've heard rumours of Q2/2010 or
Q3/2010 - but nothing definitive. AxonWare are on the beta-tester panel and
we've not seen anything as yet. The USA edition has just been released - so
usually there is a time delay to customise for Europe.
» What "Technical Support"
do I get?
A new user is entitled to 30 days
free support directly from Intuit. This support is handled by their team in
India. If you want to extend your support plan with them you may. AxonWare
also offer consulting/support/training over the web and onsite at an hourly
rate.
» Can I get a "Free trial of
Quickbooks"
Yes you can get a Quickbooks
trial from AxonWare. We recommed that you try before you buy. The true
cost of the software is not its list price - it's whether you buy into the
concept of using it.
» Does Quickbooks offer
Payroll
Quickbooks offers UK Payroll only - at an extra fee. We recommed that
you try something like Collsoft
Payroll if you want Irish payroll software. Collsoft links nicely with
Quickbooks and is keenly priced.
